Creating a new organization
Follow these steps to create a new organization as a reseller:
Step 1: Go to the organizations section
Step 2: Click on the three dots and the create organization button
Step 3: Enter the organization details including name and contact information
Step 4: Select a plan for the organization, Phishing Only**,** Awareness**,** or ****Advanced
Step 5: Choose between starting a 14-day trial or activating a plan immediately
Step 6: Select your preferred billing cycle - monthly or annual - based on your client's requirements
Step 7: Review all details and confirm the organization creation
Plan management options
Start new plan - This option allows you to activate a completely new plan for an organization. You can choose from the various available plan types and set up the desired configuration directly.
Start a new 14-day free trial - This lets you activate a 14-day trial period, ideal for organizations that want to try Guardey before committing to a full plan. During this period, they have access to almost all features.
Change billing period - With this function, you adjust the billing cycle, for example from monthly to annual or vice versa. This is useful for organizations that want to adapt their payment preference.
Cancel current plan - This option offers the possibility to cancel the current plan. You can choose between cancellation at the end of the current period or immediate termination.
Update details - This allows you to modify the organization details, contact information, billing details, and other important settings without changing the plan itself.
Managing trial periods
During a trial, the organization has access to most features within the chosen trial plan, with the exception of actually sending phishing simulations. It's possible to extend the trial up to three times with an additional 14 days each time. When a trial expires, the organization's plan is automatically deactivated.
Resellers receive an email notification 4 days before a trial expires. Admin users of an organization also receive a notification about the impending end of the trial and when it expires.
Changing plans
Upgrading a plan - To upgrade to a higher plan, you need to cancel the current plan and start a new plan. Plan changes take effect immediately. When upgrading, you'll be charged the prorated difference.
Downgrading a plan - To downgrade to a lower plan, you need to cancel the current plan and start a new plan. Important: Downgrading through the system alone is not sufficient. You must also submit a written cancellation notice that adheres to the contractual notice periods. Failure to provide written cancellation may result in automatic renewal of the current plan.
Canceling a plan
To cancel a plan for an organization, follow these steps:
Step 1: Navigate to the organization's settings
Step 2: Select plan from the left-side menu
Step 3: Click on the manage button
Step 4: Choose either cancel plan (at the end of the period) or cancel now (immediate termination)
Step 5: Confirm your cancellation
Important: Canceling through the system alone is not sufficient. You must also submit a written cancellation notice that adheres to the contractual notice periods. Failure to provide written cancellation may result in automatic renewal of the plan.
Plan renewal process
Plans automatically renew at the end of each billing cycle unless canceled. Renewal notifications are sent 14 days before the renewal date to the organization admins and reseller contacts. To modify renewal settings, navigate to the organization's plan settings.
Resuming the plan
After cancellation, it's always possible to start a new plan or start a new trial for 14 days.
Organization inactivity with canceled or expired plan
If an organization is inactive due to a canceled or expired plan, all users within the organization will also be inactive and will not have access to the Guardey application and/or portal.
