Understanding Microsoft Teams incoming webhooks
An incoming webhook is a type of connector in Microsoft Teams that allows external services like Guardey to send automated messages and notifications to a specified Teams channel.
Notification types
Once set up, this webhook will provide notifications in the Teams channel whenever there is a new challenge available in Guardey. These notifications are automatically sent by the Guardey system and do not require any manual intervention.
Notification frequency
The frequency of notifications is configurable in your Guardey environment. You can set how often you want to receive notifications (via email and/or Teams) with the following options: none, weekly, once in two weeks, once in three weeks, once in four weeks. New challenges are always released weekly, and this release schedule cannot be modified.
Relation to weekly emails
While the webhook notifications provide timely updates about new challenges, they currently serve as a complement to the weekly email rather than a replacement. The weekly email may contain additional information not included in the webhook notifications.
Microsoft Teams webhook setup process
Step 1: Open Microsoft Teams, navigate to the channel where you want to receive notifications.
Step 2: Click on the three dots next to the channel name, select connectors or add a new tab in the channel and a new app. Depending of your MS Teams version.
Step 3: Search for incoming Webhook, click add, and then configure.
Step 4: Give your webhook a name and, optionally, upload the Guardey logo to represent it. After configuration, you'll receive a unique URL. Copy this URL; you'll need it for integration with Guardey.
Guardey integration steps
Step 1: Log in to the admin portal.
Step 2: Select users and then groups.
Step 3: Choose the group you want to configure and click on settings, then select advanced.
Step 4: In the advanced settings, enter the Webhook URL you received from Microsoft Teams.
Using one Webhook for multiple groups
You can use the same webhook URL for multiple groups in Guardey, but this isn't necessary if you've already added your required Teams channel. Keep in mind that notifications will be sent to the same Teams channel. If you want notifications in different channels, you'll need to create separate webhooks.
Webhook security
Webhooks are generally secure as they only allow one-way communication from Guardey to your Microsoft Teams channel. However, it's important to keep the webhook URL confidential to prevent unauthorized use.
Modifying webhooks
You can edit or delete the webhook anytime in both Microsoft Teams and Guardey. In Teams, go to the channel's connectors settings, and in Guardey, visit the group's advanced settings.
